Key responsibilities include:
Acting as a central point of contact and ‘gatekeeper’ for all aspects of the Director's schedule of work, including flexible diary management to meet changing needs, agreeing suitable dates & times, identifying alternative arrangements to make room for priorities, recognising priorities and what can / cannot be moved in line with Director's expectations and workload on a daily/weekly/ monthly basis and across the year.
Proactive monitoring of the Director's inbox and ensuring that routine inquiries are dealt with in consultation with the relevant GM or officers within the Directorate ensuring that the Director is fully sighted on what is important and needs his attention on a timely manner.
Maintaining the Director's Forward Plan and its interface with the key governance / decision-making platforms to avoid inconsistencies in terms of briefs, timetables, clearance protocols to ensure that the reputation of the Directorate in responding to corporate commissions is increased significantly.
Commissioning of all reporting activities, effective scheduling of all commissions, and ensuring quality submissions within corporate briefs and guidelines, clearly marking closed actions in the commissioning log.
Providing effective support to the Director by ensuring that he receives quality and timely briefings about the decisions/ reports/ issues which will be taken up to the Corporate Level.
Identifying and offering support to quickly draw governance issues to resolution, escalating where appropriate to do so.
Ensuring that the meeting papers packs are always ready for the Director in advance of meetings and any key decision points are highlighted for his attention.
Maintaining and adhering to the directorate clearance protocols, ensuring that these are clearly communicated through the commissioning framework.
Handling incoming requests with highest level of speed, accuracy, presentation, confidentiality, multi-tasking –managing priorities and deadlines to deliver against specific commitments.
